Service policy

This policy applies to all services provided by CODE ACE SOLUTIONS LLC (“we”, “us”). By requesting a quote or starting a project, you agree to these terms unless a written agreement says otherwise.

1. Scope of services

We provide custom software development, including web applications, integrations, automation, and related maintenance and support. The exact deliverables, timeline and price of each project are set out in a written proposal or agreement.

2. Quotes and changes

• Prices on our website are approximate. The written quote is what applies.
• Quotes are valid for 30 days unless stated otherwise.
• Work outside the agreed scope is quoted separately and starts only after your approval.
• Timelines depend on timely feedback, content and access from you.

3. Payment terms

• Fixed-price projects usually require a deposit to start, with the balance due on delivery or at agreed milestones.
• Hourly work and support plans are invoiced monthly or as agreed.
• Invoices are due within the period stated on the invoice, normally 7 to 14 days.
• Accepted payment methods are listed on each invoice. Payment through PayPal will be added.
• Deposits are non-refundable once work has begun, but work already completed is delivered to you.

4. Ownership of work

After full payment, you own the custom code and materials created specifically for your project. We keep ownership of our pre-existing tools, libraries and general know-how, and grant you a license to use them as part of your delivered project. Open-source components remain under their own licenses.

5. Confidentiality

We treat your business information, data and project details as confidential and use them only to deliver your project. We do not share them with third parties except service providers needed for the work, or when the law requires it. We may mention that we worked with you only with your permission.

6. Support and warranty

Unless the proposal says otherwise, we fix defects in delivered work reported within 30 days after delivery at no extra charge. This does not cover changes in third-party services, misuse, or modifications made by others. Ongoing support is available on a separate plan.

7. Privacy

• This website does not use advertising or tracking cookies. If you sign in to the client area, we use one session cookie that keeps you signed in. It is necessary for the service and is not used for tracking.
• If you create a client account, we store your name, email address, a securely encrypted (hashed) password, and the projects and messages you exchange with us.
• Client accounts and messages are visible only to you and to us. We keep them while you are a client and for a reasonable period afterwards for business records.
• If you contact us, we receive the information you send, such as your name, email address, phone number and project details.
• We use this information to reply to you, prepare quotes, deliver services and send invoices.
• We do not sell or rent your personal information.
• Our website may load fonts from Google Fonts, which can receive your IP address as part of the request.
• You can ask us to correct or delete your information by writing to sales@codeacesolutions.com.

8. Limitation of liability

We work carefully, but software is provided as agreed in the project scope, without guarantees of uninterrupted or error-free operation. To the fullest extent permitted by law, our total liability for any claim related to a project is limited to the amount you paid us for that project, and we are not liable for indirect or consequential losses such as lost profits or lost data.

9. Termination

Either party may end a project by written notice. You pay for work completed and expenses incurred up to the date of termination, and we deliver the work completed so far.

10. Governing law

These terms are governed by the laws of the state in which CODE ACE SOLUTIONS LLC is registered, and the laws of the United States where applicable. We will first try to resolve any disagreement through direct conversation.
